Booking & Cancellation Policy

For woodland venue hire and agreed event packages

 ๐ŸŒฟ Deposits and payment

A 20% deposit is required to secure a booking. The remaining balance is payable 14 days before the event, unless otherwise agreed in writing. For bookings made less than 14 days before the event, full payment is due before the event.

 ๐ŸŒฟ Cancellation by the hirer

Cancellations must be made in writing. Any cancellation charge or amount retained from payments already made will be assessed fairly and proportionately, taking account of reasonable direct losses arising from the cancellation, costs already incurred, costs saved and whether the date can be rebooked.

โ€‹

  • โ€‹More than 8 weeks before the event - Refund payments less any reasonable, unrecoverable costs already incurred.

  • 4-8 weeks before the event - A cancellation charge of up to 25% of the total hire fee, where justified by the loss.

  • 2-4 weeks before the event - Up to 50%, where justified by the loss and likelihood of rebooking.

  • Less than 2 weeks before the event - Up to the full hire fee if the date cannot be rebooked and the resulting loss justifies it.

๐ŸŒฟ Cancellation or postponement by Forest Lodge

If Forest Lodge must cancel because the site is unavailable or unsafe, an alternative date will be offered where possible. If no suitable alternative can be agreed, payments made for the cancelled booking will be refunded.

 ๐ŸŒฟ Weather and outdoor conditions

Forest Lodge is an outdoor, off-grid woodland venue. Ordinary rain does not automatically entitle the hirer to cancel; the sheltered areas available will be those agreed in the booking. Severe weather or unsafe conditions may require an event, or use of the fire circle, to be postponed or cancelled.

 ๐ŸŒฟ Changes to bookings

Requests to change dates, timings, guest numbers or agreed facilities must be made in advance and are subject to availability. Any additional costs will be agreed before the changes are confirmed.
